As a Landlord or Property Manager your business, small or large, is dependent upon working with and renting to quality, paying Tenants. Excessive vacancies and/or non-paying Tenants will turn any sized rental property into a liability and a nightmare. What if you could eliminate over 90% of self-imposed hardships and frustrations simply by having the appropriate Landlord Forms and by following a proven method of doing business as a Landlord? Doing so would mean MORE MONEY in your pocket!
Below is a list and description of the 25 Vital Real Estate Documents that all Landlords or Property Managers NEED to have to maximize their success.
Application Documents | Why you NEED the Document |
Rental Application | This is the second most important Real Estate Form a Landlord will use after the Lease Agreement, and the most important Application Document. With a proper Rental Application you're able to know from the very beginning whether or not your applicant should be renting your unit. An insufficient Rental Application can cause unimagined frustrations as it can lead to future problems collecting rent, renting to dirty and/or abusive tenants, removing bad tenants, collecting fees associated with removing a bad tenant, and a number of other headaches you'd rather not experience. Our Rental Application is designed to smoke out the trouble signs BEFORE you place a Tenant(s) in your property. Make sure you're only dealing with Clean, Quality, Paying Tenants and your Landlording or Property Managing experience will be extremely profitable. |
Rental Application Qualifying Standards | Avoid costly, discriminatory lawsuits by naming your legal qualifying standards up front. This document will deter predator Tenants from targeting you for a frivolous discriminatory lawsuit as they'll know you're properly prepared from the beginning. |
Deposit to Hold Agreement | Vacancies are costly. Don't let another would-be Tenant slip through your arms and go to a competitor. This document will allow you to receive a deposit upon application submission. If the would-be Tenant decides to continue to shop around for another apartment they'll lose their deposit. With this form, you'll have the upper hand as you can now spend the appropriate time to qualify a Tenant without the fear of losing the Tenant to a competitor. |
Employment Verification Request | Hands down, the most important factor of having a good Tenant is their ability to pay rent - on time. Get your Employment Verification requests answered in a timely manor with this Real Estate Form. |
Landlord Verification Request
| Before renting to a potential Tenant you'll want to know that they treat their current residence with respect and are clean, quality Tenants. Don't rely on their word - take it from their previous Landlords. Use this Landlord Form to save time and ensure other Landlords will comply with your request, which will help you find out what kind of Tenant(s) you're about to rent to. |
Move-In Documents | Why you NEED the Document |
Lease Agreement
| This is by far the MOST IMPORTANT document you’ll need. Without an appropriate Lease Agreement you’ll leave yourself open to countless liability and headaches. This Rental Agreement has been crafted with the Landlords’ interests in mind. Our Landlord network has been using this Rental Lease Agreement for years and takes pride in its completeness – You will too |
Animal Rental Addendum | Animals bring physical and personal liability exposure for Landlords. Get compensated for this additional liability by receiving an additional security deposit and extra rent. This Landlord Form will offer you protection and is a must-have for Landlords that rent to Tenant(s) with animals. |
Disclosure of Information of Lead Paint
| Lead-Paint hazards are an extremely important issue to be protected against for both Landlords and Tenant(s). Use this Landlord Document to disclose any known lead-paint hazards or to notify the Tenant(s) that there are no known lead-paint hazards. This disclosure can protect against frivolous lawsuits later and can serve as your protection if you ever need it. |
Move-In Form | You'll need to document the condition of your rental unit at the beginning of tenancy as well as the end. This document gives you, the Landlord, the upper hand when a Tenant moves out. This Landlord Form helps you keep more of the security deposit to make legal renovations to your rentals if your Tenant(s) leave the unit in disarray. |
New Tenant Checklist
| This checklist will keep you organized and make sure you have completed all of the necessary steps with your new Tenant. |
Plumbing Overview | Water leaks can cause very costly repairs. By using this Real Estate Form you can help educate your Tenant(s) to prevent water leak problems and save you aggravation and money in fixing preventable leaks. |
Renters Insurance
| Renters Insurance is the Landlord's first line of protection from personal and property liability. If your Tenant has a fire or dog bite, your insurance can be targeted. If so, you run the risk of having higher premiums and/or your insurance canceled. Avoid these risks by requiring your Tenant(s) to carry Renters Insurance. At a low monthly price of $8+ for Renters Insurance you can't afford to have your Tenant(s) without it. This Landlord Document will protect you both. |
Move-Out Documents | Why you NEED the Document |
Move-Out Checklist
| With so many Real Estate Documents and procedures to follow to ensure a smooth, hassle-free Tenant Move-Out, this form is used to help expedite the process and stay ahead of the game with your rentals. |
Move-Out Fees
| Without properly notifying your Tenant(s) of the charges that broken items will cost to repair, you might find it an uphill battle to legally keep their security deposit to make needed repairs. Use this Real Estate Form to ensure all parties are aware of all costs associated with leaving a unit in disarray. |
Move-Out Instructions and Procedures
| Don't leave the Move-Out process to chance; doing so will increase the likelihood of headaches and spending unneeded money in repairs. This Landlord Form will give your soon-to-be former Tenant(s) detailed instructions on how to handle their Move-Out; saving you time and money. |
Move-Out Request Prior to Eviction Proceedings | Evictions are timely and costly; 2-3+ months. Vacant units, or non-paying units, are one of a Landlord's worst enemies. This Landlord Form is used by Landlords that want to be proactive with the removal of a non-paying Tenant(s). This document and approach may save a Landlord up to two months rent in lost money by enticing the Tenant(s) to voluntarily move out prior to the eviction proceedings. |
Move-Out Inspection Summary
| Use this Landlord Form upon your final walk-through with your vacating Tenant(s) to properly document any and all problems that will need to be repaired. This Real Estate Form will be used in combination with your Move-Out Fees form to determine how much money to withhold from your Tenant(s)’ security deposit. |
Move-Out Survey
| Use this document to ask for suggestions on things you could have done better. Understanding what Tenant(s) want AND need from their rentals will mean you're ahead of your competition and will ultimately lead to greater profits for you as you'll be able to better accommodate your future Tenant(s). |
Unexpected Return of Possession Without Inspection
| This document is used if you are ever unexpectedly informed by Tenant(s) that they have moved out, or plan to move out prior to the conclusion of their lease. This Landlord Form will officially terminate the Lease Agreement and help avoid a legal battle if you've already re-rented the unit and the former Tenant(s) decide to move back in after moving out. |
Tenant Notices | Why you NEED the Document |
Notice to Dispose of Property
| Once you have successfully evicted a Tenant, you now have your next hurdle to overcome: What to do with the property the former Tenant(s) left behind? According to most Landlord-Tenancy Law, a Landlord must notify a Tenant if the Landlord wishes to dispose of any property left behind after a Tenant(s) removal. Don't fall victim to evicted Tenant(s) falsifying possessions that you disposed of. Use this form (and a camera) for your protection and put your former Tenant(s) on notice that their possessions will be disposed of after the legally allotted amount of time. |
Notice of Past Due Rent
| Don't go through the long eviction process only to find out you didn't follow the appropriate guidelines and have to start over. Most State Laws require that Landlords notify Tenant(s) in writing prior to formally starting the eviction process. Use this Landlord Document to issue a written statement of past due rent. |
Notice to Pay Rent or Quit
| Most state laws mandate that Landlords must issue another written request to Tenant(s) informing them of their need to pay the past due rent or leave their unit. Don't waste time trying to evict a non-paying Tenant only to find out you have to start again because of a clerical error. This document maintains compliance and is a MUST HAVE. |
Notice of Rent-Increase
| One advantage of owning or managing rental properties is the ability to annually increase rents and increase the bottom-line profits. However, if done incorrectly you could be sued by Tenant(s) and forced to pay for your mistake. Increase rents the right way with this Real Estate Form. |
Notice to Vacate Receipt
| If you've become aware that your current paying Tenant(s) intends to move, send this Real Estate Form as your official confirmation. It is also your first introduction to your Move-Out policies and a chance to ask for a referral for your next Tenant. |
Request for a Vacant Unit
| Whether you've just purchased a property and wish to remove current Tenant(s) for extensive renovations, or you've owned the rental property for a long time and would like to request that the current Tenant(s) move, this Real Estate Form will suit your needs. Use this Landlord Form to officially document your request. |
